About the Role

    Marketing & Business Development

    · Support the Marketing Director in preparing RFP/RFQ submittals—writing, formatting, editing, and layout.

    · Coordinate and organize professional photography—scheduling photographers, obtaining permissions, and maintaining a digital library of images.

    · Update and maintain firm marketing materials, project sheets, resumes, and proposal templates.

    · Assist in creating visual content and presentations using Adobe InDesign, Photoshop, Illustrator, or Canva.

    · Maintain and schedule social media posts, e-mail campaigns, and marketing calendars.

    · Help identify, track, and organize new business opportunities, proposal deadlines, and client leads.

    · Contribute to maintaining and elevating the firm’s brand standards in all visual and written communications.

    Administrative Support
    · Provide daily administrative support to Principals, Associates, and Job Captains.

    · Manage calendars, coordinate meetings, conference calls, and travel logistics.

    · Open and prepare the office each day—lights, conference rooms, and reception areas ready for clients and staff.

    · Route messages and greet visitors professionally.

    · Manage daily mail, supplies, vendor coordination (IT, cleaning, etc.), and general office organization.

    · Assist in scheduling and planning firm events, celebrations, and Lunch & Learns.

    · Maintain office filing systems (digital and physical), including document scanning and Dropbox organization.

    · Maintain firm-wide records, contracts, and confidential documents (employee files, NDAs, insurance).

    · Track staff milestones (reviews, birthdays, PTO, anniversaries) and manage internal communications.

Requirements

Bachelor’s degree in Business Administration, Marketing, Communications, or related field preferred.

  • Minimum 2 years of experience in office administration, executive support, or marketing coordination (A/E/C industry experience preferred).

  • Strong written and verbal communication skills.

  • Exceptional attention to detail, organization, and time management.

  • Proficiency with Microsoft Office and Adobe Creative Suite.

  • Comfortable managing confidential information with professionalism and discretion.

  • A positive, proactive, and team-oriented attitude with a passion for design and creative environments.
